Both run classes, enrolments and invoices. They differ in how they're paid and how families pay you: Class Manager is free and takes a fee on each online payment; Prosford HQ is a monthly price, and matches the bank transfers your families already make.

Prosford HQ
$25 a month for up to 40, $79 a month for 41–150, $159 a month for 151–400 active students. In New Zealand dollars, and that's the final price.
Class Manager
Nothing for the software. Class Manager takes 3.9% + 30c of each online payment in New Zealand.

Nothing. Families pay you directly, and we never take a cut.
Class Manager
Its fee, which is $8.10 on a $200 term paid online. From 1 October 2026 a New Zealand studio can add a service charge to families' bookings.

What it does that Prosford HQ doesn't yet. If one of these is what your studio needs most, Class Manager may suit you better.
It is moving quickly: refunds, pro-rata fees for late joiners, and export files for Xero and QuickBooks all arrived in September 2026.
Card payments online
Families pay by card online, with Apple Pay and Google Pay. Prosford HQ takes bank transfers only, for now.
A family portal and app
Families have a portal of their own, and an app. Prosford HQ's portal is still to come.
Chats with families
Chats, with replies an AI suggests. Prosford HQ sends emails, not chats.
Tax on invoices
Invoices can show tax, such as GST. Prosford HQ's can't show GST yet.
Xero and QuickBooks files
Export files to import into Xero or QuickBooks. Prosford HQ has no accounting export yet.
Reports to a spreadsheet
Reports you can download as CSV. Prosford HQ has no CSV export yet.
Refunds
Refunds to the card, or as credit on the family's account. Prosford HQ can't refund a payment yet.

Staff roles with their own permissions. Prosford HQ has owners and admins, and teacher logins are coming.
Which suits your studio.
Class Manager suits a studio that wants families to pay by card online, and is happy for a fee to come out of each payment or to add a service charge to families' bookings. It also has more for families and for your books today: a portal and app, chat, GST on invoices and files for Xero.
Prosford HQ suits a studio whose families pay by bank transfer, as most do here, and that would rather those payments were matched to invoices than typed in. You pay one monthly price for your size, and nothing comes out of what families pay you.

- Why does Prosford HQ cost money when Class Manager is free?
- Because we don't earn anything from your families' payments. Class Manager is paid by a fee on each online payment; we're paid a set monthly price for your size, and every dollar a family pays you is yours.
- Can you move my students across from Class Manager?
- Yes. Send us your student list during your trial, however it's laid out, and we'll bring your students and their guardians in.
- Will Prosford HQ take card payments?
- Yes, they're coming. When they do, we still won't take a cut of them.
