What it does

Everything a term needs, in one place.

From the first booking to the last payment, with one record per student and nothing typed twice.

Class scheduling Set a class up once and the whole term fills in. Group classes and one-to-one lessons share one calendar. Student records One record per student: their guardians, what they're enrolled in and what they've attended. Siblings share one billing account. Attendance tracking Take the register on your phone. Cancel a lesson and the students you owe get a replacement on their balance, used up by itself next time. Invoicing and billing Invoice a term from what students are actually enrolled in, match your bank statement to invoices by reference, and see who still owes. Online enrolment forms Forms families fill in on their phone, in your colours. Each response becomes the student, their guardians and their enrolments, with no retyping. Emails to families Invoices, reminders and form links go out in your colours, and every email is kept, so you can see what went to whom.

Why it exists

Built to run our own studio first.

We run Prosford Studio, a small performing-arts, writing and tutoring studio in Ponsonby. We were juggling an enrolment form, a spreadsheet, a calendar and accounting software that didn't talk to each other, so we built one place for all of it.

It still runs the studio every week, and every new feature is battle-tested at our own studio first.

Help from the people who build it.

No call centre and no scripted replies. The people who answer your email build Prosford HQ, and use it at their own studio every week. If something is getting in the way of your term, we want to hear about it.

A reply within one working day

Email hello@prosfordhq.com, or ask from Help and support in your admin, about anything: a question, a bug, a term that won't line up. A person writes back within one working day.

We'll move your students in

Send us the spreadsheet you use now, however it's laid out. We'll bring your students and their guardians in during your trial, so you try it with your real studio.

Your ideas, out in the open

Ideas go on a board every studio can see and vote on, and we say what we're working on next. The studios using it decide a lot of what gets built.

Security

Your families' details, kept properly.

  • Each studio's records are kept apart, by our code and by the database itself.
  • Backed up automatically and encrypted, with copies going back six months.
  • Sign in with a passkey, on your studio's own address.

Growing never surprises you

You only move up a plan after two checks in a row over its limit, each a week before payment. A busy first week of term never changes your bill.

Questions people ask.

Do I have to move everything across before I can try it?
No. Put in one class and a few students and see whether your week looks right. Or send us your spreadsheet and we'll bring your students in for you.
What counts as an active student?
Anyone with a lesson from 90 days ago onwards, including lessons booked ahead. Students who stop coming drop off the count by themselves, so you never have to archive anyone.
What happens when the trial ends?
Add a card to carry on. Until you do, your admin is closed, but the forms and invoice links your families use keep working.
Can families pay by card?
Not yet. Most families here pay by bank transfer with a reference, and you match those payments to invoices in one place. Card payments are coming, and we'll never take a cut of them.
Is it only for performing arts?
No. It was built at a performing-arts and tutoring studio, but nothing in it cares what you teach. A robotics club and a maths tutor run the same shape of week.
